I’m interested, what’s the role?
We are looking for an executive assistant to support our managing director in running the business. You will primarily manage business-related tasks, such as creating reports, organising travel and accommodation, taking minutes, and other organisational tasks. To do this role properly, you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.
Maintaining the Managing Director's (MD) calendar using scheduling tools such as Calendly and FindTime.
Managing mailboxes, flagging any potential opportunities or risks and replying on behalf of the MD.
Preparing financial statements, reports, invoices letters, and other documents.
Handling basic bookkeeping tasks.
Filing and retrieving corporate records, documents, and reports.
Researching and conducting data to prepare documents for review and presentation by boards of directors and senior leadership.
Effectively managing meetings and events.
Preparing agendas prior to a meeting and distributing them correctly, taking minutes where necessary and creating contact reports.
Keeping track of any actions from meetings/discussions and ensuring any deadlines are met.
Answering phones and routing calls to the correct person or taking messages.
Making travel arrangements for the Managing Director.
Providing general administrative support.
Who are you looking for?
Proven experience as an executive assistant or other relevant administrative support experience.
Ability to organise a daily workload by priorities.
Must be able to meet deadlines in a fast-paced, quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
